Terms of Service
Last updated 18 October 2026
These terms are the agreement between you and Fly the Farm (NSW) Pty Ltd (ABN 33 679 857 722), trading as PaddockLedger ("we", "us"). They cover your use of the PaddockLedger app and website (the "Service"). We've tried to keep them in plain English. By creating an account or using the Service you agree to them.
1. Who's who
- Farm account - the farm or business that signs up. The person who signs up accepts these terms on behalf of that business and confirms they're authorised to.
- Users - the owner, managers and staff the farm account invites. The farm account is responsible for who it invites, what they can do, and removing them when they leave.
- Your records - everything you or your users put into the Service: spray, seeding and fertiliser records, jobs, machinery, cattle, hay, fuel, safety and visitor records, photos, files and signatures.
2. Your account
- Keep your login details private, and use your own login - don't share one between people. Records show who entered them, and that only means something if logins aren't shared.
- Tell us straight away if you think someone has got into your account.
- You must be at least 18 to hold a farm account. Users under 18 may only use the Service under the farm's supervision.
3. Subscriptions, trial and payment
- New farm accounts get a free trial. We'll tell you how long it is when you sign up. No card is needed, and we won't charge you until you choose a paid plan.
- Paid plans are billed in advance, monthly or yearly, at the price shown when you subscribe. Prices are in Australian dollars and GST is added where it applies. We'll issue a tax invoice. Plans renew automatically at the end of each month or year, at the same price unless we've given notice of a change, until you cancel.
- You can cancel at any time online (Settings → Billing → Card, tax invoices or cancel) or by emailing us. You keep access until the end of the period you've paid for. We don't refund part-periods, except where the law requires it or where these terms say so (see clauses 8 and 14).
- We may change our prices. We'll give you at least 30 days' notice by email, and the new price only applies from your next billing period after that. If you don't want to pay the new price you can cancel before it starts.
- If a payment fails we'll let you know. If it's still unpaid 14 days after that notice, we may limit your account to read-only and export until it's paid. We won't delete your records for non-payment without the notice in clause 10.
4. Your records belong to you
- You own your records. We don't claim any ownership of them.
- You give us permission to store, copy, back up and display your records only so we can run the Service for you - for example, showing them to your users, emailing reminders, or sending a vendor declaration to a buyer when you ask us to.
- We don't sell your records, and we don't use them for advertising. We may use combined, de-identified figures (for example, how many records are created each month) to run and improve the Service, but never in a way that identifies you, your farm or anyone in your records.
- You can export your records at any time from Settings.
- You're responsible for having the right to put information into the Service, including other people's personal information (staff, contractors, visitors and customers). Our Privacy Policy explains how we handle it.
5. What the Service does - and doesn't - do
PaddockLedger is a record-keeping tool. It helps you keep and organise records and works some things out from what you enter. It is not agronomic, veterinary, legal, safety or financial advice, and it doesn't replace your own judgment. In particular:
- Withholding periods, ESI and clear dates are worked out from the figures you enter for each product. Always check them against the current product label, permit and any APVMA, state or industry requirement. If the label and the app disagree, the label wins.
- The spray-conditions guide (wind, Delta T, rain chance) uses forecast and modelled weather from a third-party service for your property's location. It isn't a measurement taken at the paddock. You must check actual conditions on site and follow the label before and during every application.
- Vendor declarations are made by you, not by us. You're responsible for what they say being true and complete. Whether a buyer, processor or program accepts the format is up to them.
- Reminders and alerts (services, rego, insurance, tickets, withholding, weekly emails) are a convenience. Emails can be delayed or filtered as junk. Don't rely on them as your only system for meeting a legal or safety obligation.
- Stock on hand (chemicals, hay, fuel) is worked out from what's been entered and can drift from what's really there. Do a physical count from time to time.
- Your legal obligations stay yours. Record-keeping, chemical use, work health and safety, biosecurity, livestock and vehicle laws apply to you whether or not you use the Service. We don't check your records for compliance.
6. Fair use
You and your users must not:
- use the Service for anything unlawful, or to enter records you know are false;
- try to get into another farm's records, or test, probe or attack the Service's security;
- copy, resell or reverse-engineer the Service, or use automated tools to scrape it;
- upload malware, or anything you don't have the right to upload;
- put so much load on the Service that it affects other users.
7. Our software
We (and our licensors) own the Service, its software and design. Your subscription gives you a right to use it for your business while your account is active - it doesn't transfer any ownership. If you send us suggestions, we can use them to improve the Service without owing you anything for them.
8. Availability, changes and support
- We aim to keep the Service running and your records safe, including regular backups by our hosting provider. But it relies on the internet, mobile coverage and third-party providers, so we can't promise it will always be available or error-free. Keep your own export of anything critical.
- We may need to take the Service offline for maintenance. Where we can, we'll do this outside working hours and give notice.
- We keep improving the Service and may change or remove features. If we remove a feature that's a main part of your plan, we'll give you 30 days' notice and you can cancel and get a refund of any fees you've prepaid for the time after it's removed.
- Support is by email at matt@flythefarm.com.au during business hours (NSW time).
9. Third-party services
Some features use other providers - for example, weather forecasts, maps, email delivery, card payments and, if you connect it, Xero. We choose them carefully, but we aren't responsible for their services. Our Privacy Policy lists the providers who handle personal information.
10. Closing an account and what happens to your records
- You can close your farm account at any time by emailing us from the account owner's email address. Cancelling a paid plan doesn't close the account by itself. Before you close it, export your records from Settings.
- When you ask us to close your account, we keep your records for 90 days so you can change your mind or ask us for an export, then delete them along with your files and photos.
- If a trial or paid plan ends and you don't choose a plan, your records stay read-only and available to export. If the account then has no paid plan for 12 months, we'll email the owner and, unless you reply within 30 days, delete the records.
- Copies in our providers' backups are overwritten in their normal backup cycle.
- We may suspend or close an account if it seriously breaches these terms (for example, unlawful use or attacking the Service), or for non-payment under clause 3. Except where there's an urgent risk to the Service, other users or the law, we'll tell you first and give you a reasonable chance to fix it. Either way, you'll still be able to get an export of your records.
11. Australian Consumer Law
Nothing in these terms excludes, restricts or changes any right or remedy you have under the Australian Consumer Law or any other law that can't be excluded. Where the law lets us limit our liability for failing to meet a consumer guarantee, our liability is limited to supplying the service again, or paying the cost of having it supplied again.
12. Limits on liability
Subject to clause 11:
- We're not liable for loss that comes from information you or your users entered, from not following a product label, or from relying on the Service instead of checking things yourself as clause 5 describes.
- Neither of us is liable to the other for indirect or consequential loss, such as lost profits, lost sales, rejected livestock or produce, or crop loss, except to the extent it was caused by that party's negligence, wilful misconduct or breach of these terms.
- Our total liability to you in connection with the Service is limited to the fees you paid us in the 12 months before the event that caused the claim.
- These limits don't apply to liability that can't be limited by law, such as for fraud.
13. Things outside anyone's control
Neither of us is responsible for delays or failures caused by things we couldn't reasonably control - for example natural disasters, fire, flood, widespread internet or power outages, or failures of major cloud providers - as long as we take reasonable steps to keep the effect to a minimum.
14. Changes to these terms
We may update these terms from time to time. If a change is likely to disadvantage you, we'll email the account owner at least 30 days before it takes effect. If you don't accept it, you can cancel before it starts and we'll refund any fees you've prepaid for the time after that date. Small changes that don't disadvantage you (like fixing wording or adding a feature) can take effect when we post them here.
15. Sorting out problems
If something goes wrong, contact us first at matt@flythefarm.com.au - most things can be fixed quickly. If we can't resolve it between us within 30 days, either of us can take it further. These terms are governed by the law of New South Wales, Australia, and the courts of New South Wales can hear any dispute.
16. General
- If part of these terms can't be enforced, the rest still applies.
- If we don't enforce a right straight away, we haven't given it up.
- We can transfer these terms to a business that takes over the Service, as long as your rights aren't reduced. We'll let you know if that happens.
- We'll send notices to the account owner's email address. You can send notices to us at matt@flythefarm.com.au.
